Position Summary
Integrated ENT Allergy & Immunology is seeking a professional, compassionate, and detail-oriented Medical Receptionist to join our growing team at our Woodbury location. As the first point of contact for patients, you will play a vital role in delivering an exceptional patient experience while ensuring the efficient day-to-day operation of the front office. The ideal candidate possesses outstanding customer service, organizational, and communication skills, with the ability to multitask in a fast-paced specialty practice while maintaining the highest standards of professionalism, accuracy, and confidentiality.
Key Responsibilities
- Welcome patients, visitors, and healthcare providers in a courteous, professional, and patient-centered manner.
- Answer, screen, and route incoming telephone calls while providing exceptional customer service.
- Schedule, confirm, reschedule, and coordinate patient appointments to maximize provider productivity.
- Maintain provider schedules, including consultations, follow-up visits, testing appointments, and referrals.
- Register new patients and verify demographic, insurance, and billing information.
- Verify insurance eligibility, obtain referrals and prior authorizations when required, and communicate insurance requirements to patients.
- Collect copayments, outstanding balances, and process patient payments in accordance with company policies.
- Monitor patient accounts and assist with payment arrangements when appropriate.
- Receive, screen, and appropriately direct scheduled and walk-in patients and visitors.
- Maintain accurate, complete, and up-to-date electronic medical records (EMR).
- Organize, file, retrieve, and maintain patient records and office documentation.
- Coordinate with clinical staff to ensure efficient patient flow throughout the office.
- Process incoming mail, correspondence, faxes, and other office documentation.
- Monitor office supply inventory, place orders, and verify deliveries to support uninterrupted office operations.
- Assist with maintaining office equipment by identifying operational issues and coordinating service or repairs.
- Maintain a clean, organized, and welcoming reception area.
- Protect patient privacy by maintaining strict compliance with HIPAA and all confidentiality standards.
- Follow all company policies, procedures, and quality standards.
- Participate in ongoing training and professional development opportunities.
- Perform additional administrative duties as assigned to support the practice.
Required Qualifications
- High school diploma or equivalent required.
- Minimum of three (3) years of customer service experience in a professional setting.
- Previous experience in a medical office, physician practice, or healthcare setting preferred.
- Minimum of one (1) year of experience using Electronic Medical Record (EMR) systems preferred.
- Proficiency with Microsoft Office Suite.
- Knowledge of medical terminology preferred.
- Previous experience with insurance verification, appointment scheduling, and patient registration preferred.
- Previous experience in an ENT, Allergy, Immunology, or other specialty physician practice preferred but not required.

Compensation: $18.00 - $25.00 per hour
